EXPENDITURE REPORT

 

Prepare an expenditure report for your trip. This report should include all daily expenses by category and be broken down by person — airfare, limousine/taxi/rental car or other ground transportation expense, meals, hotel, recreation and sightseeing costs all must be included in this report.

 

Use the following princples when creating your report:

  • Try to prepare the report for each day to represent actual estimated costs of each meal, travel destination, transportation journey, etc.

    • To accomplish this, use sites like TripAdvisor.com to find estimates of the average costs for meals at your dinner destination

    • Find websites for your travel destinations (or use a travel site who has done research) to find the costs of visiting

    • Include ALL costs of your trip - which means that if you are doing anything other than walking from one place to another, you will need to pay for some form of transportation and include the cost in your estimate (trains, planes, automobiles, ferries, etc.)

  • Each report should be prepared as the costs per person. If you plan to do things like share the costs of a taxi or share a hotel room or hostel, that's fine, but average the costs for your entire group (take the total price for all of you and divide by the number of group members) and list the price as "per person."

  • ALL COSTS MUST BE INCLUDED IN YOUR EXPENDITURE REPORT, EVEN IF THEY ARE ESTIMATES! There may be other places where you are required (or where you choose) to list the cost of certain things, but that doesn't mean you don't have to include it here. This is the budget for your trip, and as such everything must be factored in somehow. Try to categorize things wherever appropriate, but if some expense doesn't fit well into a category, make your own for it. The layout/template below should be followed as closely as possible, although you may wish to add food as a line item below so that you have just one table.
